How do I inquire and book a biking adventure with Big Sky Bike?

Planning with us is easy. Here’s the simple process we use so your Rail Trail trip is stress-free and exactly the right fit for your group.

1. Inquire 
Tell us your preferred dates (or a date window), group size and any special requests. We’ll email you a tailored proposal with suggested accommodation, bike and transport options designed for your group and your dates.

2. Choose & hold 
Tell us which accommodation options you like. If you need time to decide, we’re happy to place no-obligation holds for a few days so options aren’t snapped up while you firm up your plans.

3. Confirm your itinerary 
Once you’re happy with the plan, confirm the itinerary and we’ll book in all the moving parts - accommodation, bag transfers, bike hire and shuttles - to lock everything in.

4. Prepare 
Do a little light training, sort your kit (yes, maybe a bit of lycra shopping!), and closer to your travel dates, we’ll send a travel itinerary with maps, pick-up times, directions and dinner bookings.

5. Enjoy the ride 
Turn up, relax and enjoy your Big Sky Bike adventure on the Otago Central rail trail

How do I confirm my booking?

Accepted Answer

To confirm your cycling adventure, we require a 20% deposit (or full payment if your trip is under $750 or within one month). Once your deposit is received, we’ll confirm your accommodation, shuttles, and bike hire so you can relax knowing everything is organised. Deposits can be paid by internet banking in NZ, PayPal, credit card (2.2% service fee applies),international bank transfer or Wise

When is my balance payment due?

Accepted Answer

Your balance is due 35 days before your trail ride begins. If you book within one month of departure, or if your itinerary is under $750, full payment is required upfront. We’ll send you a reminder invoice 10 days before the balance due date. Paying on time ensures your accommodation, dinner reservations, bike hire, and transfers remain secured for your chosen dates.

Do I need firm dates before you can confirm?

Accepted Answer

Yes, we do need confirmed dates before finalising your itinerary. We can hold draft options, but Central Otago accommodation books quickly, so firm dates let us lock in all the moving parts of your package, from accommodation and bike hire to shuttles and dinner bookings. We recommend checking with us before booking flights to avoid disappointment.You’ll receive your own Big Sky Travel run sheet with daily plans, maps, directions, and instructions for your free Otago Central Rail Trail app.

Are accommodation prices the same as booking direct?

Accepted Answer

Yes, we book rooms at the same rates you’d pay directly. The benefit is that we coordinate everything, from shuttles to luggage transfers, so your Otago Central Rail Trail trip runs smoothly. You pay the same price, but we save you hours of planning.

Question 6

Can I make changes to my itinerary after booking?

Accepted Answer

Yes, you can make changes to your itinerary. We are happy to adjust your Otago Central Rail Trail plans at no charge while your itinerary is still being finalised. Once everything is confirmed, you can still make changes, but an administration fee of up to $60 may apply. If you’re unsure about dates or extras, let us know early.

What happens if I need to cancel?

Cancellations are subject to fees based on timing:

60–30 days before departure: 50% of your deposit is retained. 
30–15 days: 50% of your total package is retained. 
14 days or less: 100% of your total package is retained.

Shuttle fares are non-refundable within 30 days. Bereavement and health issues are considered case-by-case. COVID or border closures qualify for a refund or credit (minus small admin + 3rd party fees). Whether you are on an overseas holiday or a New Zealand resident, travel insurance can be your BFF!
